JPort Match — Privacy Policy (English)

SPeak Corp. ("we", "us", or "our") operates the JPort Match website and iOS mobile application (collectively, the "Service"). This Privacy Policy explains what personal information we collect, how we use it, and your rights regarding that information.

2. Information We Collect
When you register and use JPort Match, we collect the following information:
Account & Profile Information
- Full name (including Katakana reading)
- Email address and password
- Date of birth, gender, nationality
- Phone number (optional)
- University name, faculty, major, graduation date
- Japanese and English proficiency levels and test scores (JLPT, TOEIC, etc.)
- Visa status and residence card expiration (optional)
- Career preferences and work experience
- Profile photo (uploaded from your photo library or camera)
- SNS / portfolio links (optional)
- Resume / CV documents (optional)
Usage & Device Information
- Login history and session activity
- Pages and job listings viewed
- Messages sent and received with companies
- Device push notification token (for sending interview reminders and job alerts)
3. Device Permissions (iOS App)
The JPort Match iOS app requests the following device permissions:
- Photo Library — to let you select a profile picture from your photo library. We only access photos you explicitly choose.
- Camera — to let you take a new profile picture using your camera.
- Calendar — to save your interview schedules to your device calendar. Calendar data is stored on your device only and is not transmitted to our servers.
- Push Notifications — to send you interview reminders, job alerts, and messages from companies. You can disable notifications at any time in iOS Settings.
All permissions are optional. Denying a permission only disables the related feature; it does not prevent you from using the rest of the app.
4. How We Use Your Information
- To create and manage your account
- To match you with relevant job listings and companies
- To enable messaging between you and companies
- To send push notifications for interviews, job alerts, and messages
- To calculate your profile completion rate and display it to companies (only if you enable "Display on JPort Match")
- To respond to your inquiries and support requests
- To send service announcements and newsletters (you may unsubscribe at any time)
- To produce anonymized, aggregated analytics for service improvement
- To comply with applicable laws and regulations
5. Sharing Your Information
We share your personal information only in the following circumstances:
- With companies you connect with — when you apply to a job or accept a connect request, we share your profile data (name, university, skills, career preferences, etc.) with that company.
- Service providers — we use third-party services to operate the platform (e.g. AWS for hosting and push notification delivery). These providers process data on our behalf under confidentiality obligations.
- Legal requirements — we may disclose information if required by law or to protect the rights and safety of users.
We do not sell your personal information to third parties.
6. Cookies and Analytics
The JPort Match website uses cookies and Google Analytics to understand how users interact with the site. The iOS app does not use cookies. Analytics data is anonymized and does not identify you personally. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
7. Data Retention
We retain your personal information for as long as your account is active. If you delete your account, your profile data is removed from public view. Residual data in backups is deleted within 90 days. Message history may be retained for a limited period for legal compliance purposes.
8. Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and personal data
- Withdraw consent to data processing at any time
- Opt out of marketing communications

9. Children's Privacy
JPort Match is intended for university students aged 18 and older. We do not knowingly collect personal information from children under 16. If we become aware that a child under 16 has provided us with personal information, we will delete it promptly.
10. Security
We use industry-standard security measures including HTTPS encryption for all data transmission and secure storage for passwords. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes via email or an in-app notice. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
